Running an event

Gate staff and scanning

Getting a queue through a door in a building with no signal.

Adding staff

Add scanners to an event and they sign in with their own accounts. They see the guest list and the scanner for that event and nothing else — never your sales, your payouts or your other events. Never hand out your own login.

What they scan with

  • The creator app on a phone, using the camera. Fastest to set up, and enough for most doors.
  • The desktop door app with a handheld barcode scanner. Faster per scan and better for a long queue, since the scanner acts as a keyboard and the operator never touches the screen.

Both keep working with no connection: scans are queued locally, admission is decided on the device, and everything reconciles when the network returns.

On the night

  1. Have staff sign in and open the event before doors, while there is still signal.
  2. Test with one real ticket. A scanner that has never been pointed at a real code is an assumption.
  3. Bring more battery than you think. Scanning with the screen bright drains a phone fast.
  4. Watch the live count from wherever you are — it updates as people come through.

Handling problems at the door

  • Dead phone — look the guest up by name or order number and admit them manually.
  • Already scanned — the ticket has been used. Usually a forwarded screenshot; the platform cannot tell you who came in first, only that someone did.
  • Wrong event — a real ticket for a different night. Common at venues with back-to-back events.
  • Will not decode — ask them to open the ticket in the app rather than a cropped screenshot.
